How to add an Item


Once you finish setting up User Roles, Departments and Outlets, the final step before you can start using your POS is setting up your Items. The easiest way to do this is to bulk import all your items. You can do this here.

This tutorial is if you want to organize your inventory from scratch, if you want your inventory to be organized right, and stock managed according to the different types of packings you keep your stock in.

Create Main Categories

o Main Categories depend on how you want to organize your items at the highest level. For example, a main category would be Furniture, and Item Category would Couches

Go to Main Category

o Open the Home Menu from the Home button in the bottom left corner

o Click the Set up tile

o Click the Main Category

Create a Main Category

o Enter Main Category Code (FNT for Furniture)

o Enter Main Category Description (This is basically category name: Furniture)

o Click Save at the top right corner of the screen.

Edit a Main Category

o Click the search button in the top left corner of the page

o Click Search without any queries to view all Main Categories.

o Click the Edit button on the Main Category you wish to edit.

o Click the save button at the top right corner of the page.

Delete a Main Category

o Delete a Main Category

o Click the search button in the top left corner of the page

o Click Search without any queries to view all Main Categories

o Click the Delete button against the Main Category you wish to delete

Create Item Categories

Item Categories is for organizing items under Main Category, at the second level. For example, couches and tables would be item categories under Main Category Furniture.

Go to Item Category

o Open the Home Menu from the Home button in the bottom left corner

o Click the Set up tile

o Click the Item Category

Create an Item Category

o Enter Item Category Code (Can be any 1-4 digit alphanumerical code (SOFA)

o Enter Item Description (This is basically category name: Sofas/Couches)

o Select the Main (Parent) Category that you created earlier.

o Select the Tax Category that you would like these items to be sold with

o Click Save at the top right corner of the screen.

Edit an Item Category

o Click the search button in the top left corner of the page

o Click Search without any queries to view all Item Category.

o Click the Edit button on the Item Category you wish to edit.

o Click the save button at the top right corner of the page.

Delete an Item Category

o Delete an Item Category

o Click the search button in the top left corner of the page

o Click Search without any queries to view all Item Category

o Click the Delete button against the Item Category you wish to delete

Create Unit

  • Unit is the value the inventory is maintained with, this is what displays in the inventory reports against each item
  • Unit is the minimum value you can sell an item in. (i.e Pcs)
  • Packing Types can be created from a unit.
  • For the purposes of explaining IDZlink inventory management
  • Example: Unit = 1 Cigarette, Packing Type = Cigarette Pack (20 Cigarette), Cigarette Cartons (200 Cigarettes)
  • If you sell a Cigarette Pack, inventory will show 10 Cigarettes deduction from total stock. Inventory will be maintained in Cigarettes.
  • Inventory Reports displaying in the Packing Type you want to is coming in the very near future.

Go to Unit

o Open the Home Menu from the Home button in the bottom left corner

o Click the Set up tile

o Click Items > Unit

Create a Unit

o Enter Code (Name) of the Unit

o Enter Name (Description of the Unit)

o Click Save at the top right corner of the screen.

Edit a Unit

o Click the search button in the top left corner of the page

o Click Search without any queries to view all Item Units.

o Click the Edit button on the Unit you wish to edit.

o Click the save button at the top right corner of the page.

Delete a Unit

o Delete a Unit

o Click Search without any queries to view all Item Unit

o Click the Delete button against the Item Unit you wish to delete

Create Packing Type

  • Packing Types are the different Packings an Item can be sold in.
  • Packings are bundles of units. For example, a Cigarette Pack(Packing Type) is a bundle of 20 Cigarettes (Units)
  • For the purposes of understanding Packing Type, we will be using Cigarettes, Packs and Cartons.

Go to Packing Type

o Open the Home Menu from the Home button in the bottom left corner

o Click the Set up tile

o Click Items > Packing Type

Create a Packing Type

o Enter Code (Name) of the Packing Type

o Enter Name of the Packing Type (Description of the Unit)

o To sell in Cigarettes, enter Code as Cigarette, and Description as Cigarette. Then click the add button. Select Cigarette as the unit and enter 1 as the quantity.

o To sell in Packs, enter Code as Pack, and Description as Pack of Cigarettes (20 Cigarettes). Then click the add button. Select Cigarette as the unit, and enter 20 as the quantity.

o To sell in Cartons, enter Code as Carton, and Description as a Carton of Cigarettes (200 Cigarettes). Then click the add button. Select Cigarette as the unit, and enter 200 as the Quantity.

o Click Save at the top right corner of the screen.

Edit a Packing Type

o Click the search button in the top left corner of the page

o Click Search without any queries to view all Item Units.

o Click the Edit button on the Unit you wish to edit.

o Click the save button at the top right corner of the page.

Delete a Packing Type

o Click Search without any queries to view all Item Categories

o Click the Delete button against the Item Category you wish to delete

Create Item

  • There are two ways items can be created, by either bulk importing or specifically creating them with the step by step which is what this article is for.

Go to Item

o Open the Home Menu from the Home button in the bottom left corner

o Click the Set up tile

o Click Items > Item

Create an Item

o Select Type from Product, Food and Beverage Item or Service

o Enter Code (SKU) of Product

o Enter the Description of the Product

o Select the Item Category the product belongs to which you created earlier.

o Select the Unit the Item is to be tracked in, packing types can be selected depending on Unit

o Select the Tax Category

o Enter the Cost Price Per Unit of the Item

o Next, Select the Packing Types you want to sell the item in. The drop down list will update depending on Unit selected.

o Check Active, and Base Packing Type for the minimum value you want to sell in. Click Add Details

o Next, select the shop you would like the item to be associated with.

o Update all the images you would like the item to have. Multiple images will be displayed in Webstore.

o Optionally, you can add Key Features and Specifications of the items as well.

Edit an Item

o Click the search button in the top left corner of the page

o Click Search without any queries to view all Items.

o Click the Edit button on the Items you wish to edit.

o Click the save button at the top right corner of the page.

Delete an Item
